Cataloging

1. Replacement received same as original:

If the replacement is the same as the item being replaced:
-add as the next copy by filling in the information in the item that was created when ordered.
-Delete the item record of the book being replaced.
-Place replacement item on the spine labeling table and set processing status to SP

2. Not same as original:

If the replacement is NOT the same as the item being replaced:
-Catalog new book as usual in OCLC and Aleph (bib, item HOL). Save to server.
-Write down the item barcode, HOL #, System #, and OCLC # of the item being withdrawn.
-Open bib record of item being withdrawn. Click on the tree on the left to go to the item record. Click delete. Click yes. Move back to the bib record of item being withdrawn. Click on the tree on the left to go to the HOL record. Click edit. 
Click Delete Record from Server. Click yes.
-Move back to bib record again. Scroll to the bottom of the record. Click F6 to make a new field. Type: STA __ $a DELETED.
-In OCLC delete holdings of the record that was withdrawn in Aleph (Action - Delete holdings). 
-Place replacement item on the dated truck.

3. Ordered on separate bib - should be on original:

If the replacement was ordered as a separate record but should be added to the existing bib record in Aleph:
-Open existing full bib record in Aleph. Click split editor mode. Click on the blank side.
-Find brief bib that was created when replacement was ordered. Open it next to the existing bib.
-Click overview tree. Both bibs should be trees now. Click on the pluses (+) of the items and orders.
-Click on the order number that needs to be moved and drag it to the existing bib record orders. Drop it under orders and it will ask you if you want to move the tree item. Click yes. It will tell you if it moved the item and order successfully.
-Write down the system number of the brief bib that the item and ordered needed to be moved from. GIve that number to higher level cataloger if needed (Laurie) to be deleted.
-Add the replacement as the next copy.
-Delete item that is being replaced.
-Place replacement item on the spine labeling table. Set processing status to SP.

4. Ordered on original - should be separate bib:

If the replacement was ordered on the existing bib record but should be a separate record:
-Catalog replacement as usual in OCLC and Aleph. Save to server.
-Create and add a dummy item record attached to the new separate bib that you just cataloged.
-Open both bib records (item being replaced and replacement) side by side in split editor mode (see above in #3).
-Click overview tree and pluses (+) of items and orders.
-Click on the order number that needs to be moved and drag it to the existing bib record orders. Drop it under orders and it will ask you if you want to move the tree item. Click yes. It will tell you if it moved the item and order successfully.
-Fill in item information as usual in the item record that you just moved (order is attached, update, create HOL record, and delete the dummy item that you added at the beginning.
- Withdraw the item being replaced as appropriate (see above in #2)
-Place replacement item on the dated truck.
